Our Vetting Process
Every accountant in our UK e-commerce network passes a rigorous five-step verification before they receive a single referral. No exceptions, no shortcuts, no compromises.
Why Our Vetting Process Exists
Anyone can call themselves a bookkeeper. The terms “accountant” and “tax advisor” are not legally protected in the United Kingdom. That means online sellers searching for professional help face a genuine risk of engaging someone without the qualifications, insurance, or e-commerce-specific competence to handle Amazon settlements, OSS / IOSS returns, or post-Brexit import VAT correctly.
Our vetting process eliminates that risk. Before any accountant appears in our matching results, they must clear five independent checks covering professional qualifications, insurance, local experience, client satisfaction, and regulatory compliance. Roughly 30% of applicants do not make it through.
We re-verify every accountant in our network annually. If an accountant's circumstances change — a lapsed membership, an expired insurance policy, a disciplinary finding — they are suspended immediately and only reinstated once the issue is fully resolved and documented.
Five Steps. Zero Shortcuts.
Every accountant in our UK e-commerce network must pass all five checks. Failure at any stage means rejection from the platform.
Professional Qualification Verification
We confirm every accountant holds a recognised UK qualification before anything else.
Active membership with a recognised professional body is mandatory. We accept members of the Institute of Chartered Accountants in England and Wales (ICAEW), the Association of Chartered Certified Accountants (ACCA), the Chartered Institute of Management Accountants (CIMA), and the Association of Taxation Technicians (ATT).
We verify membership status directly with the relevant professional body, not through self-declaration. Lapsed, suspended, or restricted memberships result in immediate rejection from our network.
For specialist services such as audit or insolvency, we confirm the accountant holds the appropriate practising certificate and that it remains current and unrestricted.
Professional Indemnity Insurance Check
Every accountant must carry adequate PI cover to protect your business.
We require a minimum of £1,000,000 professional indemnity insurance cover from a UK-regulated insurer. For accountants handling complex tax planning or audit work, we expect cover proportionate to the scale and risk of their client engagements.
Proof of cover is verified at the point of onboarding and re-checked annually. Any lapse in insurance results in immediate suspension from our referral network until cover is reinstated and documented.
This protects your business from financial loss in the unlikely event of professional negligence, ensuring you have a clear route to redress if something goes wrong.
E-commerce Operating History Review
We verify a genuine track record serving online sellers, not just any small business.
We require a minimum of three years' continuous practice with demonstrable e-commerce client work. General SME experience is not sufficient. We look for ongoing engagements with Amazon FBA sellers, Shopify store owners, eBay traders, Etsy sellers, TikTok Shop merchants, or dropshippers.
We assess the range of platforms and seller models each accountant has served, from sole-trader eBay resellers and Etsy makers to incorporated DTC Shopify brands and multi-channel sellers running stock across Amazon FBA, FBM, and direct-Shopify fulfilment.
Accountants must demonstrate hands-on familiarity with platform-specific reporting: Amazon settlement reconciliation, Shopify Payouts to Xero, OSS / IOSS returns, A2X or Link My Books, and inventory accounting under FIFO for landed-cost sellers.
Client Testimonial and Reference Checks
We speak to real clients to verify quality, reliability, and communication.
Every applicant must provide contact details for a minimum of three current small business clients who have used their services for at least twelve months. We contact these references directly and ask about responsiveness, accuracy, value for money, and overall satisfaction.
We also review publicly available feedback on platforms such as Google Business Profile, Trustpilot, and professional body directories. A pattern of unresolved complaints or ratings below 4.0 out of 5.0 triggers additional scrutiny or rejection.
References must include at least one current e-commerce client engagement: an Amazon, Shopify, eBay, Etsy, or TikTok Shop seller the accountant is actively serving. We are looking for evidence that the accountant understands the realities of online selling, not just that they can file a tax return on time.
Regulatory Standing and Compliance Audit
We check for disciplinary history, AML registration, and regulatory compliance.
We search the disciplinary records of ICAEW, ACCA, and other relevant professional bodies for any findings, sanctions, or ongoing investigations. A substantive disciplinary finding in the preceding five years results in automatic exclusion from our network.
All accountants must demonstrate current registration with HMRC as a supervised agent under the Money Laundering Regulations 2017, or supervision by their professional body for anti-money laundering purposes. This is a legal requirement for accountancy practices and we verify it without exception.
We confirm that the practice holds appropriate data protection registration with the Information Commissioner's Office (ICO) and operates compliant client data handling procedures, protecting your sensitive financial information.
Ongoing Monitoring — Not Just a One-Off Check
Passing our initial vetting is the entry requirement, not the finish line. Every accountant in our network is subject to continuous monitoring and annual re-verification to maintain their referral status.
We track client feedback after every referral. If a seller reports a negative experience, we investigate promptly. Patterns of poor communication, missed deadlines, or disputed fees trigger a formal review and potential suspension from the network.
Professional body memberships, insurance policies, and regulatory registrations are re-verified each year. We do not rely on self-certification for renewals — we confirm directly with the issuing body. This annual cycle ensures our network never contains an accountant whose credentials have lapsed.
Our Guarantee to UK Online Sellers
When you request a match through our service, you will only ever be connected with accountants who have passed every stage of our five-step vetting process. No exceptions.
Every accountant referred to you will hold an active, verified membership with a recognised UK professional body. They will carry a minimum of £1,000,000 in professional indemnity insurance. They will have a demonstrable track record serving online sellers across Amazon, Shopify, eBay, Etsy, or TikTok Shop. And they will have no substantive disciplinary findings on their record.
If you are not completely satisfied with the quality of any accountant we recommend, contact us and we will provide alternative matches at no additional cost. Our service is free to you — you only pay your chosen accountant directly once you decide to engage them.
We stake our reputation on the quality of our network. If an accountant is not good enough for our own business, they are not good enough for yours.
